Who we are
PaidPatrol ("PaidPatrol", "we", "us") provides software that sends automatic, polite payment reminders for invoices on behalf of tradespeople and small service businesses. This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
Account information: the email address you sign in with, and the business details you choose to add — your business name, the sender name shown on reminders, and your payment instructions.
Invoice information: the details you enter to send reminders — your client's name and email address, invoice numbers, amounts, currencies, due dates, and any optional payment link.
Usage information: basic, privacy-friendly analytics about how the site is used (such as page views and general location), collected without cookies. We do not sell your data or your clients' data to anyone.
How we use information
We use your information to operate the service: to send the reminder emails you schedule, in your name, to the clients you specify; to show you the status of your invoices; and to manage your account and subscription.
Reminder emails are sent on your behalf and reflect the content and recipients you provide. You are responsible for ensuring you have a lawful basis to email your clients.
Service providers we rely on
We use trusted third parties to run the service, and share only the information necessary for each to do its job:
Supabase (database and authentication); Resend (sending reminder emails); Lemon Squeezy (payment processing and subscriptions, as merchant of record); and Vercel (hosting and privacy-friendly web analytics). Each processes data under its own terms and security practices.
Data retention
We keep your account and invoice data for as long as your account is active. If you close your account, we delete or anonymize your data within a reasonable period, except where we are required to keep certain records (for example, billing records) by law.
Your rights
You can access, correct, export, or delete your data at any time by managing it in your dashboard or by contacting us. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA, including the right to object to or restrict certain processing.
Security
We use reputable infrastructure providers and take reasonable measures to protect your data. No method of transmission or storage is completely secure, but we work to keep your information safe and to limit access to it.
Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the date at the top of this page. Your continued use of PaidPatrol after changes take effect means you accept the updated policy.
